- Children and young people referred for educational psychology involvement
- Parents and carers
- School staff (e.g. SENCos, senior leaders, teachers, teaching assistants)
- Local authority staff (e.g. casework officers, SEND officers)

The information collected will vary by case but may include:
For children and young people
- Name, date of birth, year group and school
- Background information about education, development and health (where relevant)
- Assessment information, observations, work samples and pupil views
- Information from education, health and social care reports where provided
For parents and carers

For school and local authority staff

- Public task / official authority – where work is commissioned to support statutory SEND processes
- Contract – where there is a direct contract for EP services with a school or local authority
- Legitimate interests – for routine business administration and communication
- Consent – where this is required, for example to involve a child or to share information in specific ways
5. How data is stored
Personal data is stored securely using password-protected systems, with access restricted to the educational psychologist and administrative support where needed. Electronic data may be held on secure email systems and cloud-based storage used for professional purposes.
Paper records, where used, are stored securely and disposed of confidentially.
6. Who data is shared with
Information is usually shared with:
- The commissioning school and/or local authority SEND team
- Parents or carers, normally via the school or local authority
In addition, data may be processed by trusted third-party providers for secure email and storage (for example IT and hosting providers), solely for the purposes of delivering the service.
Information will not be sold or used for marketing. Information will only be shared with other professionals (for example health or social care) where there is a clear reason and appropriate consent or legal basis.
7. How long data is kept
Records are kept for a period that is consistent with professional guidance and legal responsibilities related to work with children and young people. After this period, records are securely deleted or destroyed.
